Terms & Conditions

These terms set out the agreement between Three Peaks Challenge Ltd ("we", "us") and the person or organisation making a booking ("you"). They apply to all UK-guided challenges, training events and consultancy services delivered by our team.

1. Booking process and payment schedule

• A contract is formed once we confirm your place in writing after receiving the booking form.
• A non-refundable deposit of 20% of the total fee is required to secure every place. Deposits may be transferred to an alternative date once, subject to availability, if requested more than 56 days before the event.
• The remaining balance is due eight weeks (56 days) prior to the start of the event. We reserve the right to cancel a booking and retain the deposit where the balance is not settled by this date.
• We accept debit and credit card payments via Revolut, as well as UK bank transfers. Payment is only recognised when cleared funds reach our account.
• Invoices detail the services supplied, VAT where applicable and any bespoke inclusions agreed in writing. Additional services requested after confirmation will be invoiced separately.

2. Your right to cancel or amend

If you need to cancel a confirmed place the following charges apply:

• Requests to transfer to an alternative date must be received in writing before the balance due date. Later changes are treated as a cancellation.
• Failure to attend, late arrival or voluntary withdrawal during an event is treated as a cancellation and no refund is due.
• Group organisers may replace named participants like-for-like, provided the incoming participant meets all medical and equipment requirements and completes the required forms.

3. Changes initiated by Three Peaks Challenge Ltd

• We may amend itineraries to respond to weather, access restrictions, road closures or safety advice from authorities. Alternative peaks, start times or transport plans may be used to maintain safety.
• If we cancel an event before it begins, you may transfer to another advertised date free of charge or receive a full refund of monies paid to us. We are not responsible for external costs such as travel or accommodation booked independently.
• We may cancel a booking with outstanding balances six weeks prior to the event and retain the deposit. Minimum participant numbers also apply to certain open events; we will notify you at least 21 days in advance if these cannot be met.

4. Participant responsibilities

• You must ensure every participant completes the medical questionnaire truthfully and updates us if their health, medication or emergency contact details change.
• All participants must be at least 18 years old, or accompanied by a parent/legal guardian who also takes part in the event.
• You are responsible for arriving with the mandatory clothing and equipment listed in our kit guidance. We may refuse participation if kit is missing or unsuitable, without refund.
• Our mountain leaders’ decisions are final on matters of safety, pacing, environmental protection and mountain etiquette. Participants must follow their instructions at all times.
• Anyone under the influence of alcohol or drugs, or whose behaviour places others at risk, will be excluded from the activity and must make their own onward arrangements.

5. Safety, insurance and liability

• Mountain walking carries inherent risk. We employ qualified leaders, maintain public liability and professional indemnity insurance and operate robust risk assessments; however, residual risk remains and is accepted by each participant.
• You are strongly advised to arrange travel insurance that covers cancellation, personal accident and search/rescue costs appropriate to UK mountain activities.
• We are not liable for loss or damage to personal property, for consequential losses such as travel or accommodation, or for events caused by force majeure (including extreme weather, natural hazards, industrial action or civil emergencies).
• Nothing in these terms limits liability for death or personal injury resulting from our negligence or for any other liability that cannot be excluded under English law.

6. Data protection and communications

Personal information supplied during booking is processed in line with our Privacy Policy. We use your data to manage the event, share essential joining instructions and, if you opt in, send relevant marketing updates. Operational communications form part of the contract and cannot be opted out of while the booking is live.

7. Complaints and governing law

If you have concerns during an event, please raise them with the lead guide immediately so we have the chance to resolve the issue. Alternatively, write to us via the details on our contact page within 14 days of the event. These terms are governed by the laws of England and Wales and any disputes shall be subject to the exclusive jurisdiction of the English courts.
